Communications Can Help Minimize Fleet Downtime and Increase Profits

Ryder Team

While it's easy to blame service delays on outside service providers, you should look inside your own maintenance operations first. Whether you realize it or not, your service event management processes are probably contributing to fleet downtime.

Phone, emails and text messages aren't always the most effective methods of communication, especially when the information you need is spread across multiple applications, portals and paper filing systems.

Think it's not true? Ask yourself the following questions:

Do you have a detailed service history on your assets and how quickly could you pull one together?

How long does it take you to find recall, service

bulletins,Reduce Service Delays preventive maintenance status, pending operations and warranty related information when you need it?

Can you quickly identify comebacks and stop paying for the same repair multiple times?

How quickly do you respond to estimate approvals?

How long do your trucks sit at a service location after the repair has been completed?

Depending on how you answer those questions, you could inadvertently be contributing to your own downtime. If you don't have your own house in order from an information management and communications capability perspective, you can't place all the blame for service event inefficiencies on your outside service providers. If they're waiting on something from you, the truck is going to sit in the shop longer.

Before you blame your service providers for delays, make sure you have all the content and information you need about a repair, and an effective means of communicating with service providers. The proper systems, processes and people ensure that you get fast access to information and have real-time communication with people inside your organization who are involved in the decision-making process. Then, you can focus on setting up service event rules of engagement with your outside service providers so you don't lose time and money during repair events.

Take the Next Step

Review your internal communication process to determine where gaps and roadblocks exist and determine what practices you need to adopt so that you'll have access to all the necessary information for every service event.
